A Shopify app for QuickBooks® Online, US companies

Post Shopify sales to QuickBooks as the records you choose

Ledgerpost records your Shopify orders, payments, refunds and Shopify Payments payouts in QuickBooks Online. You decide, per order, whether it becomes an invoice or a sales receipt. A dry run shows every record before anything is written.

What Ledgerpost does

Every Shopify event becomes the QuickBooks record a bookkeeper would have made by hand, linked back to the order it came from. For merchants and bookkeepers who work from invoices and customer records in QuickBooks.

  • Invoice or sales receipt, by rule

Ordered rules on B2B company, payment terms, gateway, tags and payment status decide the record for each order. A preview over recent orders shows which rule each one matches.

  • Later events follow the order

Payments, refunds, edits and cancellations post against the record the original order created: a payment on its invoice, a refund as a credit memo or refund receipt.

  • Payouts as deposits

Shopify Payments payouts are recorded as deposits with their fees, so the bank feed matches what QuickBooks expects.

  • Companies and locations

B2B companies and their locations map to QuickBooks customers and sub-customers, so invoices land on the right account.

  • Looks before it creates

The app searches QuickBooks before every create, so a record that already exists is adopted rather than posted twice.

  • Pause at any time

Posting can be paused and resumed. A change to mappings or rules applies to future orders only; what was already posted stays as it is.

How it works

Three steps, each one visible before the next.

  1. Dry run

Connect QuickBooks, map your accounts and items, set your posting rules. The dry run lists every record the app would write for your last 30 days of orders, with the action for each: create an invoice, create a receipt, adopt a record that already exists. Nothing is written.

  2. Go live

Choose a go-live date. From then on, orders, payments, refunds and payouts post as they happen. The sync log links every Shopify event to the QuickBooks record it created, so you can open either side from the other.

  3. The inbox

When an order cannot be posted correctly, it is held rather than guessed at. The inbox groups held orders by cause, such as an unmapped SKU or a customer to confirm, and names the action that resolves each one. Fix the cause and the order posts.
